Who is responsible for your data

We are not required to appoint a data protection officer under Article 37 of the General Data Protection Regulation. We have designated an internal privacy contact who is responsible for data protection matters and who can be reached at the address above.

What we collect

The contact form collects only: your name, organisation, role, business email, country, chosen area of interest and your message. Nothing else. We do not ask for a phone number, company size or budget. If you tick the separate, unticked marketing box, we also record that consent.

Why, and on what basis

We use these details only to respond to your business enquiry. Our lawful basis is our legitimate interest in answering a business enquiry that you sent us. We have carried out and documented the balancing test behind that, weighing our interest against your rights. Marketing follow up, if you opted in, relies instead on your consent, which you can withdraw at any time; withdrawing does not affect the lawfulness of what we did before you withdrew.

Who receives it

Your enquiry is first received by the workflow service that carries it to us. That service is provided by a company established in Germany, in the European Union, and every submission passes through it. From there your enquiry is stored in our customer relationship management system, which is the durable record, and a notification is sent to our enquiries mailbox. Our hosting provider processes the request in order to serve the site. We do not sell or share your data, and nothing is sent to a third party advertising network.

Analytics

We measure how this site is used so that we can improve it. Our analytics run on our server and place no cookies on your device. We do not track you across other websites, we do not build a profile of you, and we retain only aggregate statistics such as how many people read a page and which countries they came from. We rely on our legitimate interest in understanding and improving our website.

Transfers outside the European Union

Some of the technology suppliers we use are established outside the European Union, and may access data in order to provide and support their services. Our hosting provider, Netlify, is a United States company, and that processing relies on standard contractual clauses together with a transfer impact assessment. We are completing the same documentation for every other supplier in the chain, and we are confirming where each one stores and can reach your data before we state it here. We would rather publish that in a few weeks than publish a residency claim we have not finished evidencing.

How long we keep it

We keep enquiry records for 24 months from our last meaningful contact with you, and then delete or anonymise them. By last meaningful contact we mean the later of the last message you sent us and the last substantive message we sent you, not counting automated or bulk marketing sends. Server and application logs are kept for at most 6 months, with IP addresses truncated or hashed at the point they are recorded; that period is our own choice rather than a legal requirement. Consent and refusal records are kept as proof, with their timestamp, the wording shown and the language it was shown in.

Your rights

You have the right to access, rectify, erase, restrict and object to the processing of your personal data, the right to data portability, and the right to withdraw consent at any time.

You also have the right to lodge a complaint with a supervisory authority. Our lead supervisory authority is the Commission nationale pour la protection des données (CNPD), 15, Boulevard du Jazz, L-4370 Belvaux, Luxembourg, www.cnpd.lu. If you are resident in another country of the European Union, you may also lodge a complaint with your national supervisory authority.

Providing your details is optional. It is necessary only if you want us to respond to your enquiry.
